We are on a mission to grow with intention and heart. As our Senior Operations & Growth Specialist, you will play a key role in scaling a business that supports hopeful adoptive families across the United States.

In this position, you will sit at the intersection of strategy, systems, and stewardship. Your responsibilities will include transforming key performance indicators (KPIs) into actionable insights, analyzing financial and performance data, optimizing team execution, and strengthening our essential agency partnerships.

You will report directly to the CEO and collaborate with various departments to ensure that our programs not only run smoothly but also grow effectively.

Your Core Responsibilties

Business & Financial Operations

​

  • Analyze financial performance (revenue, expenses, cash flow, retention, upsells) and provide actionable insights
     

  • Maintain internal dashboards and reporting tools to track progress toward goals
     

  • Partner with our bookkeeper and accountant on budgeting, forecasting, and financial reviews
     

  • Identify operational bottlenecks and implement solutions to improve profitability and efficiency
     

  • Collaborate with the team on goal-setting, planning, and strategic execution

Performance & Team Optimization

​

  • Track KPIs across consulting, marketing, and client experience teams

  • Lead weekly performance reviews and recommend process improvements

  • Supervise team members (marketing and virtual contractor) to ensure deliverables are met

  • Create systems to support team accountability, project execution, and consistent results

  • Support marketing and sales initiatives with campaign reporting and growth analysis

  • Provide weekly performance updates with key wins, red flags, and recommendations​

Partnership Stewardship & Agency Outreach

​

  • Manage and nurture our relationships with adoption agencies, attorneys, and other referral partners
     

  • Schedule and lead bi-monthly check-ins to review referral metrics and strengthen collaboration
     

  • Track and report referral performance (leads, conversions, trends)
     

  • Craft and send thoughtful stewardship emails to partners with business updates, trends, and client spotlights
     

  • Identify new partnership opportunities to drive client acquisition and brand trust

Client Program + Delivery Support

​

​

  • Monitor client engagement across programs and support consultants in improving touchpoints
     

  • Track member retention, upsell opportunities, and referral metrics
     

  • Ensure consistency and quality in backend systems, client experience tools, and internal SOPs

​

  • Collaborate with the marketing team on data-informed engagement strategies

You might be a fit if...

  • 4–6+ years in operations or business management, preferably in service-based or consulting businesses

​

  • Strong organizational skills with the ability to manage multiple departments and priorities

​

  • Comfort with financial data, KPI tracking, and basic forecasting

​

  • Strategic thinker who can also execute at a high level

​

  • Confident communicator who can hold teams accountable with care

​

  • Familiarity with adoption, coaching, or mission-driven services is a plus

​

  • Curious, coachable, and committed to growth (yours and ours)

​

  • You’re tech-savvy (Google Workspace, Airtable, ThriveCart, QuickBooks Online, Dubsado, etc.)

​

  • Confident in managing relationships with professionals and partners

​

  • You’ve led small teams or directly managed 1–2 contractors, freelancers, or staff
